During the second week of your internship, the CIO approaches your team and says, “I need you to prepare a briefing on the process of selecting and acquiring an information system for our health care organization. Include how the goals of our organization and stakeholders affect the selection process. I must have this briefing this week so I can prepare for several meetings I must attend.” 

Prepare a briefing for the CIO in the form of a at least a 500-word paper addressing the three bullet points below. Your response must address all aspects of each question, must include your personal opinions, ideas, or thoughts; and must provide examples in any situation where it is warranted.

Process for selecting and acquiring an information system

When a company makes the decision to select and acquire an information system, there is a lot to consider. Many factors play a role in the decision-making process. An information system that works well can make workflow smoother and more efficient for employees and patients. An information system that does not work well can be a setback or even downfall for a healthcare organization. One major factor to consider is the investment. It is important to know how much the organization is willing to invest in a healthcare system. Obviously, the less money spent, the less elaborate a system you get. It is important not to overspend as well and end up with a very elaborate health information system where you do not use most of the functions. So naturally, the organization needs to figure out what the needs of the organization are. This will assist with making sure the chosen health information system is beneficial to the organization. Some things to consider when choosing a health information system are the type of facility it will be used in, how many patients and employees it will service, how much training costs for employees will be and how user friendly the health information system is. Another key in choosing a health information system is making sure it is compliant with HIPAA. Electronic medical records (EMR) systems are no longer luxuries. Uzialko (2018), “Healthcare providers that want to provide a modern standard of care to their patients, not to mention avoiding government penalties, have no choice but to implement a Meaningful Use-certified EMR system.” (para. 1).

Information systems is a system designed to take in, process, store and distribute organizations information (Liu, Santhanam & Webster 2017). Information systems are made up of four elements. They include tasks, workers, roles, and software. IS’s main function is to store the organization’s information and give access to it when needed. Before developing an information system, there are several factors to consider. Some of these factors are the organization’s goals, location of the business, the technology required and many more. This paper will discuss how a company’s goals affect the design of an information system.

The company’s goals determine the type of technology used in the development of information systems (Safiullin et al., 2019). For example, if a company will deal with medication, the information systems to be used must be of high technology. The technology used in securing the system must be of high standards. It can incorporate things like passwords, biometrics and many more. This will help protect data access by third parties if the organization deals with advertisements; not much technology is needed in the information systems since not much privacy is needed.

The organization’s goals also determine the hardware and software used in developing the information systems (Legner et al., 2017). Hardware is the physical objects of an information system like computers, while software is the computer program to be used in developing the information systems. The goals of the company contribute a lot to developing computer programs. If an organization deals with finances, the information systems are supposed to be designed to accept monetary figures and so on. If an organization is going to deal with research, it needs many computers and of high speeds to help in carrying out searches and safely storing the findings. Explain the roles of each stakeholders and how it affects the acquisition process

The stakeholders are a very important part of a company, they are what we need to make sure the company is profitable and running smoothly. The 5 stakeholders that have been mentions are the clinicians, office manager, billing team members, the marketing team, and the board members. The clinicians have the duty to test and use the systems in the hospital facility. The new software that management and the board decides on is used by the clinical staff to ensure quality, and safe care is being provided to everyone within the facility. The management team members must ensure that all clinical staff is trained properly on new equipment and software If the staff is not it could possibly cause delays in care or cause a miscommunication with patient care. The billing team members are also an important stakeholder because they are to ensure that all patient accounts are being billed correctly either to the insurance or to the patient themselves. The billing department is responsible to work with the management team to make sure all purchases for the hospital are made on time and that the department and or hospital does not go over budget when ordering new equipment or products. All 5 groups of stakeholders work together to ensure that the facility is running in a tight fashion and that all areas are operating to ensure profit.
